Confidentiality is a cornerstone of our business. We remind our employees regularly in writing, and verbally of the importance of keeping client information confidential. We shred all potentially sensitive material that is disposed. We have a fire-wall built in to our server to prevent hackers from having access to our computer files. We lock and set an alarm on our office whenever staff is not present.
We understand that we are in possession of extremely sensitive information about the participants in the plans we administer. We frequently mail, ship, and transmit this sensitive data. We use generally accepted vendors and processes for these transmissions, and we mask the Social Security numbers on any correspondence sent directly to a participant’s home address.
As you may have read in the media, however, identity theft and credit card fraud have become a major white-collar problem in our society. Nobody is immune.
If we discover any apparent breach of our security, we will notify you immediately, and take any steps possible to mitigate any risk to your plan participants. If you need additional information about our confidentiality policy, or if you have any questions, please feel free to contact us.
